Is it for me? · Coaches and trainers
Programmes, sessions,
and the people on them.
An intake quiz that qualifies before you spend an hour on a call, session credits that count themselves down, and a programme your client opens in their own account. All against one record, so nobody is reconciling a spreadsheet with a chat app.
Example member — one person, four things you actually need
In this dashboard
A week
None of this is a feature. It is the week, written down.
Where each thing lands, and what you never have to do about it.
Four questions. What they are training for, how many days they can give it, whether they have worked with a coach, when they want to start. Scored before you see it.
Qualified. Budget and timing line up. You reply to one person instead of triaging six, and their answers are already attached to the record you are replying from.
Nine becomes eight. Not a note in your phone, a row on a ledger with a date on it that they can see too.
Calf tightness on the long run. It sits under her programme, not in a DM you will scroll past on Sunday.
The programme updates in her account. No PDF attached to an email nobody can find in March.
Ten credits added, access granted, catalogue does the gating. You did not process anything by hand.
An example week
What you never do
Count sessions from memory, dig a programme out of an email thread, or work out whether the person messaging you is the one who paid last month.
Why it holds together
The quiz answer, the credit, the programme and the check-in are all rows against one member. That is the schema, not a marketing line — the same record carries every one of them.
Example submission
Before the first call
A quiz is a filter, not a lead magnet.
Ask the three or four things that actually predict a good client for you, decide what each answer is worth, and read the total before you commit an afternoon.
Publish a quiz and the Leads pipeline appears without being asked — answers with nowhere to land are half a feature. Every submission is kept against the person who sent it, so when they resurface in March you reopen what they said rather than starting again.
Sessions
Ten sold, and the count is not on a sticky note.
Credits go on a real ledger — added when someone buys, taken when a session is used, and the balance is the same number you and they are both looking at.
Example ledger
Every movement is a row with a date
When a client says they have three left, you can look rather than negotiate. Nothing about the balance is anyone's recollection.
Booked against the person
A session attaches to the member record, so their sessions sit beside their programme and their check-ins instead of in a different app.
It counts down; it does not take the money
Helm records that credits were sold and spends them. The card payment for the block is not something it processes.
Example check-in thread
Programmes
A plan they can open, and a thread you both write in.
A plan they open in their own account on your site, versioned, so the thing they are reading is the thing you last published.
And a thread you both write in between sessions, kept, so in week nine you can look back at what you actually agreed in week two. It records who has read it, which is the difference between “I sent that” and “you saw that”.
Example catalogue
What unlocks what
A catalogue that appears the moment you have something to sell.
A catalogue decides what people can buy and what each purchase unlocks. It appears by itself the moment you have a course, a community, a coaching plan or PT sessions to sell — because until then there is nothing for it to hold.
Access can come from an order, or you can grant it by hand for the client who paid you by transfer. Both are recorded the same way, so the question “should this person be able to open this” always has one answer.
Before you start
What this does not do, said now rather than later.
These are switched on for you, not bought
Coaching, PT and quizzes are not on any checkout page, and you do not ask for them. They are switched on while your dashboard is built, so if you coach, they are there the first time you log in.
No payment processing for a session block
Helm records that credits were sold and counts them down. Taking the card payment for the block itself is not something it does.
No video calls, no scheduling links
Programmes, credits, check-ins and the people on them. Not a calendar app, and not a video room.
Getting started
Tell us how you actually coach, and we will shape it around that.
Plans start at $20 a month. Coaching, PT and quizzes are switched on per account rather than sold from a pricing page.
